Cut patient wait time by 38% in 90 days across 4 clinics.

A 4-clinic rural healthcare network serving rural Mashonaland was running entirely on paper. Patient flow stalled at queue handoffs, prescriptions were lost, and management had no view into which clinic was overrun on which day.

The brief

Where A leading mission-based healthcare network in Zimbabwe started.

A 4-clinic mission-based healthcare network in Mashonaland Central, running on paper since the 1980s. They had no shared patient view, no scheduling system, and a clinical director who could not get a single accurate weekly figure on patient flow without sending two staff members to drive between sites.

The challenge

The five things in the way.

  • 01

Records lost to fire, water, rodents and the simple act of moving between clinics

  • 02

No way to know which clinic was about to be overrun on which day

  • 03

Prescriptions written, then re-written, then misread

  • 04

Two-week lag on monthly board reports

  • 05

Power and connectivity outages of up to 6 hours per day

The approach

How we framed the work.

  • Two weeks on the ground at each clinic before any spec was written
  • Co-designed the EMR with senior nursing staff — not with IT
  • Offline-first by default; online sync as a bonus, not a requirement
  • Phased rollout, one clinic at a time, with two-week stabilisation between
What we built

Four components, sequenced over the engagement.

Component 01

EMR Core

Patient record, vitals, prescriptions, referrals, immunisation registry. Offline-first with conflict-free replicated sync.

Component 02

Queue Management

Tablet-based intake at reception, real-time visibility of wait time per consultation room.

Component 03

Operations Dashboard

Live view across all clinics — patients seen today, wait time p50/p95, staff utilisation, drug stock.

Component 04

Mobile Nurse App

Offline-capable for outreach visits with sync when back at clinic Wi-Fi.

Outcomes

What landed for the business.

  • 01Average patient wait time fell 38% in the first 90 days post-launch at the pilot clinic, then sustained across the network
  • 0212,400 historical paper records digitised in the first 6 months
  • 0399.97% system uptime over the first year despite frequent power outages, thanks to offline-first architecture
  • 04Monthly board report now generated in 5 minutes (was a 2-week ordeal for two staff)
  • 05Drug stockouts dropped by 64% via real-time stock visibility

"We went from drowning in files to seeing the whole network in one screen. Synvas didn't just build software — they understood our workflow first."
